Derian House fully owns the subsidiary Derian House Children’s Hospice Shops Limited (Company number 2914583) incorporated 30/03/94.

Keeping your information safe
Keeping your information safe and secure is a top priority for everyone at Derian House and we have measures in place to protect the information you share with us. We will only allow authorised members of staff, volunteers and contractors to have access to your information unless we have a legal obligation to share it.

How long will Derian House hold your information for?
Derian House will only hold onto your information for as long as it is necessary to perform the activity which it was provided for. For example, we may hold donation information for six years, but health information will be held for as long as it is required, which may be much longer.
How do you make a change to the information held by Derian House or ask us to stop contacting you?
We always need to keep your information up to date, so if you spot anything which is incorrect, please contact us and let us know straight away by using the normal contact methods.
If you would like us to stop contacting you, we will still retain your name and contact details which will be flagged informing us that you must not be contacted.

I am a child or young person who uses Derian House Children’s Hospice
When you use Derian House we will have collected information about you when you were referred to us and during your stay. This will include information on the following:
- Your contact details
- Your overall detailed health information
- Your ethnicity and spirituality
- Information about what is important to you and the people who are important to you
- Information about who else is involved in your care
We will use this information to help us to look after you. We will also use your anonymised information to report to people on how we are providing our care, this includes reporting to people such as Care Commissioning Groups and NHS England.
Sometimes we may take your photograph or record video and audio of you to keep in your Care Plans. We may also ask if we can use this in promoting the work of the Hospice online or with the media. We will always ask for your full consent before we do this.
As a Hospice we are committed to keeping your information safe, secure and private and we will never share information without your consent unless we have a legal obligation to do so, such as where we may have a safeguarding concern.

I am a family member or care giver of someone who uses the hospice
When your Child or Young Person is referred to us we will have collated information about you and we will store that on our database. This will include:
- Your Name
- Your Contact Details
You may also receive counselling, family support or other therapeutic services from us. If you do we will also collect further information about you which will be relevant to the service which you are receiving from us. This could include information about your health, your spirituality or other information.
We will also use your anonymised information to report to people on how we are providing our care, this includes reporting to people such as Care Commissioning Groups and NHS England. I am a Fundraiser or a Donor
Derian House is committed to keeping your information safe and secure. We will collect and process your information as donors and fundraisers for the following purpose:
- To administer your donation(s) or your sign up to our events.
- To claim gift aid where you have given us permission to do so
- To keep a record of your relationship with us
- To enable us to record how you’d like to hear from us for example by post, email, text and phone
- To help us improve our services to you
We do this based on the legitimate interest legal basis for collecting information and where we have this your full consent.
We will send you news and items which may be of interest to you if you give us your consent or we have had a relationship with you in the last five years.
We are committed to your privacy and we will never sell your information to other parties. We are registered with the Fundraising Regulator and take our role in keeping your information safe and secure very seriously.
Children who fundraise
It’s great when Children get involved in fundraising for Derian House. We may take information from them about their event or fundraising and we will only use this to send a thank you letter or a certificate. We commit to not sending them direct marketing and because of this we will keep their details on our database but marked so we know they are a child.
Third Party Fundraising
When events are carried out by Third Parties to raise money for Derian House we may collate information about that event. We will collate information from the Third Parties arranging the events and will contact them subsequently to thank them for their contribution and to keep them informed about what is happening in the Hospice and how their donation is being used.
